How to verify employee Social Security Numbers? If you’re an employer that has employees working for the business you owe, you can get much use of the tools offered by the Social Security Administration. You can verify employee Social Security Numbers using the SSA’s Business Services Online. This is good for employers to handle many things such as filing Forms W-2 with the Social Security Administration – verifying the SSNs of employees.

Upon receiving Form I-9 from an employee, you will have his or her Social Security Number. You can use the Social Security Number provided on the form and enter it on SSA Business Services Online to verify it. Especially if the employee hasn’t provided you with documentation that supports identity and work authorization.

One side note here is – for Form I-9 to be valid, the employee must provide you with documents that establish identity and work authorization.

Verify SSN through Business Services Online

If you’ve filed Forms W-2, Wage and Tax Statement using BSO, you can just log in using the User ID and password you’ve created before. This will enable you to skip the registration process as you are already registered.

Verifying Social Security Numbers on Business Services is easy. You have two options for the verification process. You can either enter the names and the SSNs of the employees in a text box and verify it or you can upload a text file containing all the SSNs and the names of the employees to see if they match. The first option works the best if you have less than – let’s say 50 employees or so. This is because you will only be able to enter up to 10 names and SSNs on the tool.

We suggest all employers to verify Social Security Numbers of their employees as it will get in the way of identity fraud. Get to the Business Services online at the SSA website if you haven’t registered yet.
